Privacy Policy: Your contact details

If you would like further information from IS Oxford about our software or services you may be asked to complete a form. The data about yourself that you provide us with will be used in compliance with the GDPR.

Information Collected

The forms on this website will request the minimum personal information necessary to answer your request adequately including: name, organisation, position within that organisation, address, email address and phone numbers. Some or all of these details may be provided by you by alternative means e.g. by email or telephone. 

We may also keep a record of some or all interactions with you by any means e.g. email or in person when demonstrating to you. These are held in order to provide a record of what was discussed and, where relevant, decided and to inform later discussions. 

These details about you will be stored in our contact management system which is located on a server in the UK or within paper records at our Oxford office.

If you have made purchases from us, or we have purchased from you, we will also record information in our accounting package in order to manage invoicing and payments.

What do you do with my information?

We use your information for the following purposes:

To communicate with you in relation to the products and services that your employer has contracted with us to provide. To monitor our levels of customer service and manage the way in which we support you (if your employer is our customer). To understand our customers’ needs and requirements. To advise you of other products and services that we offer which we feel may be of benefit to you and/or your employer. To alert you to events and news that we feel might be relevant and/or useful to you.

With whom do you share my information?

We will never share your information with a third party without your express permission, unless we are required to do so by law.

Do you process sensitive personal data?

We do not directly process data which the Data Protection Act 1998 defines as ‘sensitive personal data’. As a business to business (B2B) company, most data recorded within our systems is of a corporate nature.

How will you use my information to contact me?

We may contact you by telephone (via a business phone number where it has been provided, and sometimes via a mobile phone), by post (to your business address), by email (via a business or personal email address if you have provided us with either of these) or by Social Media platform (such as LinkedIn, Facebook or Twitter).

Will you send me marketing information?

We will only send you marketing information about other products and services that we (ourselves) offer. Our marketing emails will include an ‘unsubscribe’ link.

Third parties

Your personal details will not be passed to any third party without your further consent. Your data will also remain within the EU.

Removal or change of details

You may request to be removed from our mailing lists at any time by emailing your request to sales@isoxford.com. Similarly if you wish to check of modify the details we hold about you (name, address, phone numbers, email address, organisation and position within that organisation) please email sales@isoxford.com with your request and we shall be pleased to help.

Please note that the removal or modification information held about you will not be automatic on receipt of your email but will be carried out by one of our team. You will be sent an email confirming that the change has been made typically within two working days.

What is your legal basis for processing my data?

The legal basis for processing your data will depend on the reasons for it being supplied. It will be one of "consent", "contract" or "legitimate Interest". Examples of the first of these would be the sending of marketing material and follow-up emails; support emails, invoices, statements and other accounting advisories for the second and Support Weekly emails and information about using a trial copy of our software for the third.

What if you host my system or I provide data for conversion or support purposes?

Please refer to the Customers Data Protection page on our support website for information about how we will handle your data. If you are a customer of ours then you should have received and agreed to the terms and conditions of our support and hosting. Drafts of these are available on our support website (login required).
